Terms and conditions

All awarded grants must comply with the World Cancer Research Fund International Regular Grant Programme terms and conditions, as specified on our Procedures for Funded Grants: Terms & Conditions.

The terms and conditions document contains information on the steps that must be taken when requesting changes to the grant (section 2), when monitoring the progress of the grant (section 3), when disseminating grant outputs (section 4), and on intellectual property and patents (section 5).

  • Do I need to complete any documentation before the start of the project?

    The Principal Investigator (PI) should complete and sign both the terms and conditions form, and the payment form. The latter should be returned by the designated institution official and the PI at least one calendar month before the grant start date.

  • How are the grants monitored?

    Monitoring the progress of the grants is an essential part of the grant programme due process. In addition, the information collected during monitoring is invaluable to WCRF International and to the WCRF national charities, which are the funding bodies that award the grants.

    The grants are monitored by WCRF team through submitted progress reports. All grant holders are required to submit yearly progress reports and a final report at the end of the grant period. The number of progress reports required depends on the total duration of the award.

    We also arrange liaison visits.

    Informative grant monitoring allows WCRF International to assess the impact of the funded research and helps to develop the scope of the grant programme. It also provides the network charities with information to underpin their communication, fundraising and health information projects.

  • How do I submit a progress report?

    Progress reports and final reports are submitted via the Principal Investigator’s (PI) account on our system. Notifications are sent to the PI to remind them of report submission deadlines. A ready-to-use template is available in the system to complete the reports. The financial statement should be attached to the report.

    After the report is submitted, the PI will receive a confirmation email. Once the report is reviewed, the PI will be notified via email of its approval. If clarifications are needed, the WCRF team will contact the PI by email to request additional information.

  • How do I submit a financial statement and what are the requirements?

    The financial statement must be attached to the report. For the yearly progress report, please provide a breakdown of the current year’s finances. For the final report, we require a breakdown of all the years.

    The financial statement must be signed by both the finance officer and the PI. While we do not have a specific template for the financial statement, we do not accept Excel tables; only signed PDF documents are accepted.

  • When do I receive funding?

    Funding is disbursed in monthly instalments, as specified in the payment form, starting from the agreed project commencement date during the last week of each month. Proofs of payment are not provided, and invoicing is not required.

  • Can I make a change to the budget?

    All transfers must be approved by WCRF International in writing prior to expenditure. Please contact us to discuss this.

  • What happens if I need to transfer the grant to a different institution?

    Grants may be transferred from one institution to another with prior written approval from WCRF International. The PI of the grant is responsible for submitting to WCRF International, in a timely manner, a letter requesting transfer of the grant, giving the PI’s new address, and the address and contact details of, and signatures from, the relevant head of department and the head of the new institution.

    WCRF International must receive a written acceptance of the grant by an authorised official of the new institution. Payments will only be initiated to the new institution upon receipt of a final financial accounting of all expenditure from the original institution and a letter acknowledging that the grant has been accepted by the transfer institution.

  • What happens if I need to transfer the grant to a different PI?

    Grants may be transferred from one PI to another with prior approval from WCRF International.

    As the original PI, you should submit a request in writing, stating the reason for the requested change, with evidence that the proposed new investigator can complete the project.

    Also, include a completed biographical information section of WCRF International’s application form, and CV, for the proposed new PI.

    The new PI must also submit a letter of intent to WCRF International. WCRF International will then notify the PI in writing of its decision whether or not to transfer the grant.

  • Do I have to mention that I am a WCRF International grant recipient in all publications related to the research project?

    Yes, all abstracts, manuscripts and publications related to the research project must acknowledge WCRF International.

  • Do I have to send a copy of the publication to WCRF International before submission or after it has been accepted?

    Please send a copy of the publication to WCRF International after it has been accepted, but before it is published.

  • When and how should I acknowledge WCRF International?

    You should acknowledge WCRF International (and relevant global network entity if applicable) in any publication, poster or presentation that includes research supported in whole or in part by the WCRF global network.

    Posters and presentations should also include the relevant WCRF global network logos.

    Please acknowledge the proper funding source as mentioned in Section 5.1 of our Terms and Conditions. If the grant is funded through:

    • WKOF, please do acknowledge them as the funding source, in the following format: ‘Funding for grant [grant number] was obtained from Wereld Kanker Onderzoek Fonds (WKOF) as part of the World Cancer Research Fund International grant programme’.
    • WCRF, please do acknowledge them as the funding source, in the following format: ‘Funding for grant [grant number] was obtained from World Cancer Research Fund (WCRF), as part of the World Cancer Research Fund International grant programme’.
    • Both WCRF and WKOF, please do acknowledge them in the following format: ‘Funding for grant [grant number] was obtained from World Cancer Research Fund (WCRF) and Wereld Kanker Onderzoek Fonds (WKOF), as part of the World Cancer Research Fund International grant programme’.
  • What if my research is not finished on time?

    The Grant Period may be extended for up to one year beyond the date specified in the Award letter with prior written approval from WCRF International.

  • I’m reaching the end of my grant term and have not spent all the money allocated in the budget. What should I do?

    You should refund any unexpended funds to WCRF International.

    Unexpended funds from an existing grant may only be carried forward to a renewal or an extended grant term with prior permission of WCRF International.

    If you want to apply for an unfunded extension to use the underspend you should submit a written proposal, indicating what the underspend would be used for (including objectives and milestones) and how this would progress the findings of your research project.

  • What can happen if I break the Terms and Conditions?

    Breaking the Terms and Conditions, such as failure to notify WCRF International of forthcoming publications, or failure to submit the required progress reports, will result in automatic disqualification from submitting a grant application to WCRF International for a three-year period.
